Henara GmbH Relys on Epson Scanners

Henara GmbH, based in Potsdam, is a service provider for healthcare providers whose services support medical practices in their day-to-day operations.
The company’s portfolio ranges from handling all billing formalities with health insurance providers to efficient, flexible appointment scheduling and a detailed overview of prescriptions, all the way to comprehensive patient management. Medical practices can either use the company’s service as a pure billing service by sending their prescription packages directly to henara GmbH, or they can use one of the available software packages, depending on their preferred option.
Raphael Schweda, CEO of henara GmbH, explains: “All healthcare providers should be able to focus on their patients rather than on the—unfortunately—necessary paperwork—and that was precisely the idea behind our company. We want our solutions to relieve medical practices of their daily administrative routines as much as possible. Since the needs of medical practices vary widely, we offer a range of services—from simple apps, such as those for scheduling appointments, to a comprehensive service package.”
Despite all the advanced technology in the healthcare sector, the majority of information exchange between medical practices, hospitals, health insurance providers, and service providers such as henara still takes place on paper today. To digitize these documents, high-performance, fast scanners are needed that can capture even the finest details on the documents, such as QR codes. That’s why henara GmbH uses Epson’s WorkForce DS770II and DS410 scanners to digitize its own documents and those of its customers.
Schweda explains: “Because there are two scenarios for using the scanners at our company, we decided to go with two different models. On the one hand, we receive about 80 packages daily, each containing roughly 100 prescriptions from medical practices that have chosen to have us handle their billing. To handle this flood of paper, we need very high-performance devices, so our 25 employees work with a total of twelve WorkForce DS770II scanners. In addition, the devices must also process internally generated documents, bringing the total to about 1,800 scans per day per device.”
The Epson WorkForce DS770II is a document feeder scanner that, with a scanning speed of up to 45 pages (double-sided) per minute, is ideally suited for handling even large print runs. It features a special slow mode to ensure even very delicate documents are scanned gently. Most of the prescriptions, supplementary prescriptions, and billing documents for insurance providers are in DIN A4 and A5 formats. But there are exceptions. Schweda comments: “We use the Epson scanners to scan everything that comes our way. In addition to standard formats, we also have to capture notes or receipts for expense reports, for example. On top of that, the type of paper varies. Some practices send us their documents on eco-friendly paper, while others use standard office paper, which has either a smooth or coated surface. Even when we feed them large stacks, the Epson scanners process them flawlessly and without paper jams.”
For practices that wish to use henara’s practice management software, the company recommends the Epson WorkForce DS410 for on-site use. This exceptionally compact scanner processes up to 26 pages per minute and is particularly durable and easy to use. Ease of use is important because practice staff are often not very experienced with scanners. Rough handling of the paper feed and misaligned sheets are common occurrences here. “We only recommend a device to a practice if we are completely convinced of its quality,” says Schweda. “Imagine if we recommended a device and the practice then had nothing but trouble with it. That would immediately reflect poorly on us!”
“All practice owners are very cost-conscious, and finding space for a device is always an issue,” explains Schweda. “The fact that Epson scanners are quite affordable and have a particularly compact design are therefore additional advantages that make them ideal for use in our industry. The scanners from another manufacturer that we had previously could not meet our requirements as well. That has now changed, and we’re glad we switched to Epson scanners.”
